ORGANISATIONAL
LOCATION
The Agency's Rulemaking Directorate contributes to the production of all EU legislation and implementation material related
to the regulation of civil aviation safety and environmental compatibility. It submits opinions to the European Commission and is consulted by the Commission on any technical question in its field of competence. It is also in charge of the related
international co-operation. Experts within the Rulemaking Directorate have direct contact with all relevant stakeholders, and
make use of the knowledge available within industry and national administrations across Europe. The Agency's team of
experts is composed of persons with a recognised background in aviation and EU legislation.
International cooperation is one of the missions of the Rulemaking Directorate, as it is closely linked to rulemaking and covers
both the development of international standards that may become European rules and the conclusion of international
agreements or arrangements that become binding on the Community or the Agency. The International Cooperation Department covers three main aspects: Multilateral, Bilateral and Technical Cooperation. The International Technical Cooperation Section promotes EASA rules and assists developing and less-developed
countries in improving their regulatory capabilities. The Section is in charge of developing, monitoring, and implementing
technical cooperation and assistance programmes with countries non member to the European Union (third countries), in close
liaison with the European Commission.
JOB CONTENT
Reporting to the Manager of the Technical Cooperation Section, the job holder will assist the Section in the implementation of
the Technical Cooperation Projects and activities. The jobholder will be in particular responsible for assisting the assigned
Project Managers in the following tasks:
Project Support
Monitoring the status of agreements and contracts, reporting variations or discrepancies to the Project Managers;
Supporting projects and deliverables tracking throughout the implementation phase;
Acts as recording secretary in internal and external project meetings, preparing and distributing minutes and action item summaries;
Organizing project activities including preparation of any required materials;
Composing administrative correspondence and drafts (external and internal) such as memos, letters, reports,
presentations, agendas, meeting materials, minutes;
Receiving reviews and processing incoming correspondence, prepare responses or materials;
Coordinating and arranging conference and travel arrangements for the project team and project beneficiaries, as well
as preparing travel claims;
Other duties as assigned.

Monitor Project Budget
Under the supervision of the assigned Project Manager:
Reviewing and processing all expense claims for the assigned projects, including travel claims;
Reviewing and processing all purchasing and contractual aspects for the project to ensure that proper approvals are in place;
Manage some bookkeeping items.
Administrative Support
Assisting in the development of policies and procedures;
Organizing and maintaining project files;
Gathering and/or preparing materials for publications on the Agency's internet and/or intranet or other publications;
Performing other projects related secretarial and administrative tasks as deemed necessary.
PROFESSIONAL QUALIFICATIONS AND OTHER REQUIREMENTS
A. ELIGIBILITY CRITERIA
A level of post-secondary education attested by a diploma,

A level of secondary education attested by a diploma giving access to post-secondary education, and appropriate
professional experience of at least three years;
Thorough knowledge of one of the languages of the Communities and a satisfactory knowledge of another language of
the Communities to the extent necessary for the performance of his/her duties;
Be a national of a Member State of the European Union, Norway, Iceland, Liechtenstein, Switzerland, Armenia, Azerbaijan, Georgia, Kazakhstan, Moldova, Tajikistan, Kyrgyzstan, Ukraine and Uzbekistan;
Be entitled to his or her full rights as a citizen;*1
Have fulfilled any obligations imposed by the applicable laws on military service;
Meet the character requirements for the duties involved and
Be physically fit to perform the duties linked to the post.*2
B. SPECIFIC COMPETENCES AND SKILLS

Knowledge and /or preferably professional experience in a domain related to the job description, demonstrating a
proven capacity to provide Project Managers with the necessary support;
Experience, preferably in a professional context in an international environment;
Computer proficiency of current IT office tools (Windows, MS Office, MS Office Project, spreadsheets and databases);
Experience with project support;
Effective organisation skills with the ability to prioritize;
Ability to deliver accurate work under pressure and within tight deadlines;
Willing and able to perform multi-tasking;
Excellent written and oral communication skills in English;
Motivated, dynamic personality with strong aptitude for team work.

Practical experience of at least 1 year in similar positions/projects in the international field;
Knowledge of the regulatory context of aviation and the role of the Agency as shown by training and/or professional
experience;
Knowledge of the EU financial regulation (or equivalent financial requirements or standards) as shown by training and/or professional experience;
Working knowledge of German, French and/or Spanish.
