DUTIES AND RESPONSIBILITIES

Under the supervision of the Director of the Secretariat of the Assembly, the incumbent will perform the following tasks and responsibilities:

· Co-ordinate and organize meetings and conferences, including inter alia: eighth resumed session of the Assembly of States Parties, fourteenth and fifteenth session of the Committee on Budget and Finance, Review Conference, the ninth session of the Assembly, The Hague Working Group meetings and the meetings of the Oversight Committee on permanent premises;

· Ensure servicing the Assembly, and its Bureau, and other serviced bodies including through the preparation of summaries of the discussions, revision of documentation and liaising with delegations;

· Supervise the preparation, translation and reproduction of documentation;

· As per the specific needs of each session, conference and meeting, plan the various services required for each conference; provide physical facilities and meetings services for meetings and supervise their operations; make arrangements for interpretation and translation ;

Liaise with inter-governmental organizations and non-governmental organizations by providing information concerning the organization and activities of the session, conference or meeting, and respond to specific requests from delegations. Supervise the distribution of documents to meeting rooms.

· Exchange information relevant to conference services with the substantive services engaged in the conference;

· Carry out measures for ensuring orderliness and security;

· Maintain files of general information on conferences and complete various forms concerning meetings

· Maintain up-to-date information on membership of the Court and of governments, missions, delegations, governmental and non-governmental bodies and other constituents of the Court; receive, evaluate and process requests for participation and provide related information and advice;

· Assist in overall administration and property management functions of the Secretariat, including hiring of temporary language/conference servicing staff in response of increased demand;

· Assist in drafting reports at the ASP and its subsidiary bodies, as well as the conference; take notes of discussions, prepare a draft summary for approval by Director, and, subsequently by the Assembly or its subsidiary bodies;

· Draft letters/notes for approval by Director;

· Provide delegations/Court officials/IGOs/NGOs/the general public with information required; reply in writing/orally, in a detailed or summarized manner.

· Prepare and maintain travel and meetings calendars / work programmes for the ASP President, the ASP Vice-President, Committee on Budget and Finance, Director of the ASP Secretariat;

· Supervise the overall structure of the website of the SASP both in contents and format, including the preparation of material for posting on the website;

· Perform ad hoc tasks, as requested by the Director, including assistance in supervising the editing/translation documents/correspondence, preparation of material for publications, such as press releases, ASP/UN Journals, ASP Newsletters, and audio/video material.

· Contact with the President of the Assembly, members of the Bureau, members of subsidiary organs of the Assembly, representatives of States, officials of the Court and their staff, representatives of inter-governmental organizations, representatives of non-governmental organizations, the general public in Liaising in person, on issues related to the Assembly;

· Representing the ASP Secretariat at any relevant meeting, if necessary

QUALIFICATIONS AND EXPERIENCE

· University degree in Economics, Business, Public Administration, International Relations, or relevant field plus a minimum of four years of professional experience (two years with an advanced university degree). Experience in working in an international environment is a strong asset.

· Ability to liaise with delegations, members of subsidiary organs of the Assembly, officials of the Court, representatives of inter-governmental organizations, representatives of non-governmental organizations, journalists, the general public in liaising in person, by phone and e-mail.

· Excellent communication skills both orally and in writing.

· Ability to plan, organize and develop effective working procedures, ability to work under pressure with due attention to detail.

· Knowledge and good command of office ERP systems (e.g. SAP);

· Ability to establish and maintain effective working relationship with people of different national and cultural backgrounds with respect for diversity.

KNOWLEDGE OF LANGUAGES

Fluency in either of the working languages of the Court, English or French, is essential. Working knowledge of the other is desirable. Knowledge of another official language of the Court would be considered an asset (Arabic, Chinese, Russian or Spanish).

The Court reserves the right not to make any appointment to this vacancy, to make an appointment at a lower grade, or to make an appointment with a modified job description.

The International Criminal Court is a member organization of the Inter-Organization Mobility Accord and is interested in secondment of staff from organizations of the United Nations Common System.
